Checking a Wizard's Progress

1. Navigate to Privacy Staff and Click "Onboarding."

 

2. Click "Setup Wizard."

 

Tip! If you have active onboarding wizards, they will show up under the "My Active" tab. You can look here to check the progress of your organizations' onboarding wizards.

 

3. Looking under the "All Active" tab at these examples, information about the wizard is summarized without actually clicking into the wizard:

  • Name of the organization
  • Products signed up for
  • Email addresses the wizard was sent to
  • Status of and how old the wizard is
  • Progress of the wizard including when it was last viewed
  • CSM owner of the wizard
  • Last update includes how many days ago the wizard was opened

Opening a Completed Wizard

1. Once an onboarding wizard is complete, it is time to finish setting up the organization's Privacy account. Click anywhere on the wizard.

 

2. Click "Open Wizard" and keep it open in a separate tab.

 

3. This is what the completed wizard looks like. Click "GLBA."

Adding the Qualified Individual

1. The qualified individual will need to be added as an admin to the organization.

 

2. Navigate to the Workforce Dashboard. Click "Organizations."

 

3. Click the "Search" field. Type the name of the organization.

 

4. Click the arrow/door icon on the right to login to the organization's Workforce dashboard.

 

5. Click "Workforce."

 

6. Click "Users" in the left-hand menu.

 

7. Click "Add User."

 

8. Click the "Name" field and type or paste the qualified individual's name from the wizard.

 

9. Click the "Email" field and add the qualified individual's email.

 

11. The title and phone number are not required but should be added if you have this information.

Click the boxes next to the products the organization has subscribed to.

 

Tip! Don't forget that Workforce is included with any other ComplyAuto software.

 

12. Click "Add."

 

13. Navigate back to Workforce Staff. Click "User Management."

 

14. Click the "Search" field and type the name of the qualified individual you just added.

 

15. Select the correct user by verifying the email and organization. Click anywhere on the qualified individual.

 

16. On the "User Details" tab, you can add a photo, update user information, and add a tag if applicable. Hit "Save" before you continue.

 

17. Click "Locations & Groups." Select the locations and groups appropriate for the qualified individual. Please click "Save" under each tab you edit before moving to the next one.

18. Click "Access Level" and choose the appropriate level for the qualified individual. Most qualified individuals will be "Standard (Admin)," but some may be added as a "Super Admin." Hit "Save" before you move on.

 

Alert! Never click "Staff" on a customer user account. Staff is only for ComplyAuto employees.

 

19. Click "Products." Choose the products the qualified individual will have access to. You can also make users eligible to be enrolled in Workforce features. Click "Save."

 

20. Click "MFA." This tab will allow you to edit the MFA phone number of a user. Click "Save" if you make an edit.

 

21. Click "Permissions." At the top you can specify which locations the qualified individual can have access to. "Custom Permissions" are available if required.

 

22. Choose if the qualified individual will have administrative or standard permissions. Also check the appropriate products per user. Qualified individuals will usually have administrative access. Click "Save" and then click "Done."

 

Tip! Adding a user in Workforce automatically sends a welcome email for the user to set up his/her account. The email link expires after 24 hours.

You can check to verify a user has logged in and can resend the welcome email if needed. Log into the organization's Workforce account. Click "Users" in the left- hand menu and then resend the email by clicking the envelope.

Back to the Onboarding Wizard

1. Navigate back to the onboarding wizard tab. "Cyber" is the address where the security scanning device should be sent. This information is automatically added to the device queue.

2. Navigate to the "Phishing" section of the onboarding wizard. The first section under Phishing is "Employee Upload."
